This is a working draft written for the Phase 0 launch. It has not been reviewed by a solicitor. It must be before seats go on sale.
What we collect
When you book a seat we collect your name, your email address, and the fact that you accepted these terms and when.
If you write a question when you book, we store it. Questions are read out during the session without your name attached. Do not put anything in that box you would not want said out loud to everyone in the room.
Stripe collects and processes your payment details. We never see your card number. We store the Stripe identifiers for your payment so that we can refund it if we need to.
What we do with it
We use your email address to send you the joining link, a reminder before the session, and anything we have to tell you about that specific booking. That is all.
We give your question to the hosts before the session so they can prepare an answer. We give them the question, not your name or your email address.
We do not send marketing email in Phase 0 and we do not sell your details. Apart from the question described above, we share nothing with the hosts or their employers, and never your name, email address or payment details.
The waitlist, hosting, and getting in touch
Joining the waitlist collects your email address, the industry and stage you told us, and a confirmation link you have to click before we count you as subscribed. You can leave in one click from any email we send.
Applying to host collects your name, email address, employer, job title, years in the industry, and, if you give it, a LinkedIn URL and what you would want to talk about. It also records the two consent statements you agree to and exactly when you agreed to them, in the words you saw at the time.
Writing to us through the universities, employers, or contact pages collects your name, email address, an organisation if you give one, and whatever you write in the message. We use it only to reply to you.
Recording
We record every session and send the recording to everyone who bought a seat. The recording captures the hosts speaking, the questions read out, and any attendee who chooses to turn on their camera or microphone.
Your camera and microphone are off when you join. If you leave them off you are not in the recording. Questions are read out without your name attached.
Recordings go only to people who bought a seat at that session, and to the hosts. They are not published, sold, or given to anyone else. We keep them while we are still delivering them to buyers, and we hold them under the same contract basis as the rest of your booking.
If you spoke in a session and want that part removed, email us and we will edit it out and reissue the recording.
Why we are allowed to
Performing the contract you entered into when you bought a seat, and complying with our legal obligations to keep records of what we sold.
Who processes it for us
Supabase hosts our database. Stripe processes payments. Resend sends our email.
Each of them acts on our instructions and each of them holds data outside our own systems.
The WhatsApp community
If you join the free community, we keep your name, email, phone number and the industry you chose. We use them to send you the link to that industry’s WhatsApp group and to message you about ExpertLinc. Inside the group, other members can see your number, the same as any WhatsApp group. We never share or sell your details. To leave, exit the group, and email admin@expertlinc.com if you want us to delete your details too.
The community is open to anyone old enough to use WhatsApp, which is 13 and over in the UK. If you are under 18, we suggest telling a parent or carer that you are joining. Our live sessions are separate and paid; under-18s should check with a parent or carer before booking one.
Cookies and tracking
Nothing that tracks you loads until you choose “Accept” in the cookie banner. If you accept, we use Google Analytics to count visits and see which pages people use, and, when we run adverts, the Meta pixel to measure whether they brought you here. Both set cookies, and both see which pages you visit and whether you book, but never your name, email or payment details. If you choose “Necessary only”, neither loads. To change your answer, clear this site’s data in your browser and the banner will ask again.
Stripe sets its own cookies on its checkout page, which is on Stripe’s domain, not ours.
How long we keep it
We keep booking records for six years, because HMRC requires records of sales to be kept for that long. We delete anything we do not need for that purpose sooner.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Email us and we will do it.
If you are not happy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.
